    Louis may gather, handle and use the following details that you provide during the online booking process, when you purchase a gift certificate, sign up for our online newsletter, call to make a reservation, or attend an event at one of our establishments:

    —Your birth date Information regarding your payment card

    —Other information you provide during the booking process

    We may obtain some of the above-mentioned categories of data from sources other than yourself, such as third party websites, applications, and people who have added you as a guest to their reservation or have purchased a gift voucher for you. We may merge this data with the information we gather.

  • Louis understands the importance of retaining your personal data for only as long as necessary to provide you with our services and enhance your customer experience. In accordance with this principle, we will retain your data for the duration of our relationship and for further periods where required to comply with legal or regulatory obligations.

    This may include retaining certain records for seven years for VAT purposes, carrying out audits, detecting and preventing fraud, enforcing contracts or resolving disputes. To determine the appropriate retention period for personal data, Louis takes into account various factors such as the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which Louis processes your personal data, and applicable legal requirements.

Access to your personal data is limited to employees, agents, contractors, and third parties who require it for legitimate business purposes and in accordance with this privacy notice. Louis provides guidelines to ensure that your personal data is processed only as per its instructions.

    In case of any suspected breach of personal data, Louis has a procedure in place to handle the situation, and will notify you and the appropriate regulator as required by law.

  • At Louis, we collect and process your personal data for various reasons. We do this in accordance with legal bases and strive to ensure the protection of your data. Here are the ways we process your data:

    —If you provide your consent, we will use your name, email and telephone number for direct electronic marketing. You may choose to opt-out at any time by changing your preferences.

    —We use your information to fulfill our contractual obligations, such as bookings, accepting payment, or purchasing gift vouchers.

    —To confirm your table bookings and gift voucher orders, we send you a confirmation email or text message. We do this to meet our contractual obligations and to remind you about your bookings.

    —We strive to enhance your dining experience at Louis by using your personal data to optimise our website and service offerings.

    —If you consent to direct electronic marketing, we will use your personal data to personalise the types of marketing communications you receive.

    —We collect information about allergens and dietary requirements for your safety and wellbeing. We may use your data in anonymised and/or aggregated form to carry out research and improve our IT systems and website.

    —We may also share this data with third parties in an anonymised and/or aggregated form. Louis may review your data if we suspect that it has been provided inappropriately, unlawfully or illegally. This is to ensure that our restaurants and website are used appropriately and lawfully.

  • Please note that we have a strict 15-minute late policy.   • We ask that any cancellation to your reservation be made no less than 48 hours prior. For no-shows or late cancellations, you will be subject to fee of £50 per person that will be applied to the credit card on file.

  • We offer four sittings every evening, with each sitting lasting 2 hours. The available times are:

    —5:00pm, 5:15pm, 5:30pm, 5:45pm, 6:00pm

    —7:00pm, 7:15pm, 7:30pm, 7:45pm, 8:00pm

    —9:00pm, 9:15pm, 9:30pm, 9:45pm, 10:00pm

    Reservations made for 9:00pm onwards have the option to retain the table for drinks after the initial 2-hour period, subject to a minimum spend requirement.

  • —BAR ENTRY

    On Fridays and Saturdays, a £20 per person entry fee applies for walk-ins at the bar. Payment will be taken at the door by reception.

    —TABLE BOOKINGS

    Drinks tables are available to book from 11:00pm onwards. A deposit and minimum spend will be required (details to be confirmed).

    Our organisation adopts a zero-tolerance stances towards Modern Slavery and Human Trafficking. These crimes represent a profound violation and abuse of fundamental human rights.

    —Modern Slavery refers to a broad range of practices, including slavery, servitude, forced and compulsory labour, boned and child labour, and human trafficking.

    —Human trafficking involves the facilitation or arrangement of travel for an individual with the intent to exploit them.

    This policy is applicable to all individuals working for or on behalf of our organisation in any capacity, including employees at all levels, directors, officers, agency workers, seconded workers, volunteers, agents, contractors, and suppliers.

    We unequivocally prohibit the use of modern slavery and human trafficking within our operations and supply chain. This policy is non-contractual and may be amended at our discretion.

    COMMITNMENT

    We are committed to ensuring transparency in both our operations and approach to addressing modern slavery across our supply chains, in compliance with the disclosure requirements outlined in the Modern Slavery Act 2015 (as amended).

    The prevention, detection, and reporting of modern slavery within any segment of our organization or supply chain are the collective responsibilities of all personnel working for or on our behalf. Employees are expected not to engage in, facilitate, or neglect to report activities that could lead to or suggest a breach of this policy.

    We actively engage with stakeholders and suppliers to mitigate the risk of modern slavery across our operations and supply chain.

    We expect the same high standards from our contractors, suppliers, and other business partners. As part of our procurement processes, we include clear prohibitions against the use of forced, compulsory, or trafficked labour, or any individual held in slavery or servitude, whether adult or child. Furthermore, we expect our suppliers to hold their own suppliers to these same standards.

    DUE DILIGENCE

    We are committed to preventing slavery and human trafficking and have established policies and procedures to ensure that our employees are not subject to exploitation and that they work in a safe and supportive environment.

    To uphold this commitment, we have implemented the following measures:

    — All employees are provided with a contract of employment outlining their rights and obligations, including the terms for resignation, allowing employees to freely terminate their contact any any time.

    —We verify the identity and right to work of all employees in the UK.

    —We do not retain any employee’s personal identity documents (e.g., passport) during their employment.

    —We comply fully with all relevant legislation regarding working hours, statutory time off, holiday entitlements, emergency leave, sickness, family rights and minimum rest periods.

    —We adhere strictly to National Minimum Wage legislation.

    We also have in place systems to:

    —Identify and assess potential risk areas within our supply chains.

    —Mitigate the risk of slavery and human trafficking occurring within our supply chains.

    —Monitor and review potential risk areas within our supply chains.

    —Safeguard whistleblowers.

    TRAINING AND AWARENESS

    We recognize the importance of ensuring that our employees understand the issue of modern slavery, can identify the warning signs, and know how to report potential incidents within our supply chain. To this end, we may provide training sessions on modern slavery, particularly for those employees engaged with suppliers, to help them recognise risks specific to their supply chains and identify potential issues during the supplier onboarding process, as well as through ongoing supplier reviews and assessments.

    WARNING SIGNS

    It is essential that all employees understand what constitutes modern slavery and human trafficking, recognize the warning signs, and know how to report concerns. Below are some potential warning signs (though this list is not exhaustive):

    —Physical signs of abuse, malnourishment, or withdrawal from social interaction.

    —Isolation or the appearance of being under the control or influence of another person, rarely working independently or interacting with others.

    —Substandard living conditions, such as employees living at their workplace.

    —Limited personal belongings and repetitive clothing, often inappropriate for the type of work being undertaken.

    —Unusual or excessive working hours with little or no breaks.

    —Avoidance of eye contact, signs of fear or anxiety.

    REPORTING PROCESS

    We encourage transparency and will support anyone who raises genuine concerns in good faith under this policy, even if their suspicions are ultimately found to be mistaken. We are committed to ensuring that no individual faces any detriment as a result of reporting suspicions of modern slavery occurring within our organization or supply chain.

    If you suspect or believe that a breach of this policy has occurred, you must report it to Head of People.

    Every report will be taken seriously and fully investigated. We will ensure that individuals who raise concerns are not subject to retaliation. If an individual feels unsafe or fears for their personal protection, they may request to remain anonymous. We will offer full support during the investigation of any genuine violation of this policy.

    BREACHES

    Any employee found to be in breach of this policy, without a satisfactory justification, will face severe disciplinary action, up to and including summary dismissal.

    If individuals or organizations working on our behalf are found to have violated this policy, we will take appropriate corrective action to address the breach.
